Movie Studio’s HR Stays Agile with OrgChart

A major movie studio leverages OrgChart for customization and strategic planning.

When it comes to movie or TV production, you have to expect the unexpected. But senior leadership at one of the largest film production studios in the US likes to be well prepared for the future. The excuse of “That’s Showbiz” isn’t going to cut it when it comes to having an outdated org chart.

Leaders expect– and need– an accurate company org chart to map out all employees, contractors, and union members on set so they can easily make strategic decisions and produce movie magic. That’s where OrgChart comes into play.

“We like to use OrgChart to show future (org structure) options while keeping things confidential.”

Charting the Present to Plan for the Future

While a movie or TV show is filming, thousands of people can be on sets, including a mix of full-time employees, contractors, and union members. Therefore, this studio’s HR team needs an easy-to-use org chart solution to automatically create charts of the 200 full-time employees stored in ADP and all contractor information.

“Our organization is really unique because not everyone is in ADP,” said a Senior HR Generalist at the studio. “I like to give our senior leadership an idea of who is being paid on the production side of the business versus the corporate side of the business for each project. I also like to highlight our new employees, which I color code, and I use another color for employees that are in new roles.”

“Even our board members love that you can click into an OrgChart PDF to get to a specific department of the organization, and they don’t have to log into ADP”

Visibility into the studio’s current state is critical so the company can easily identify and fill gaps in their organization.

“We often create new roles, and if we haven’t hired the person to fill the role, we can use OrgChart to move people around and try different scenarios,” the Senior HR Generalist explained. “We couldn’t do this in ADP because we don’t want to disturb our system before we make a decision, and we like to use OrgChart to show the future options while keeping things confidential.”

The HR leadership team loves viewing different organizational scenarios visually thanks to OrgChart’s multiple export options.

“Even our board members love that you can click into an OrgChart PDF to get to a specific department of the organization, and they don’t have to log into ADP,” the Senior HR Generalist said. “There are a lot of creatives here, and they are very visual, so for me to be able to show them what we’re doing with a chart, it is super beneficial–especially with pictures of employees.”

Ready for the Unexpected

With OrgChart, the studio’s HR team feels better prepared for the unexpected. Not only can HR visualize future scenarios, but they can immediately have an informed point of view if plans go awry.

“Recently, we unfortunately had a senior leader unexpectedly leave due to medical issues,” said the Senior HR Generalist. “Using OrgChart, we were able to disperse his team to other leaders and look at our organization from a strategic standpoint so we could move forward quickly on projects and not have to wait to hire another leader.”

“There are a lot of creatives here, and they are very visual, so for me to be able to show them what we’re doing with a chart, it is super beneficial.”

Besides unexpected employee changes, the studio’s HR team also plans to use OrgChart for fire drills on the expansive studio lot, charting safety captains and their locations to ensure one is always on hand.

“OrgChart is such a time saver for me because I get the same questions over and over about org structure,” the Senior HR Generalist said. “With OrgChart, it is easy to refer to the latest org chart, have a reference of previous org charts, and see changes. I have a million other things to do– like hiring summer interns– so being able to easily change and share charts saves me so much time.”
